Commercial Plumbing & Public Health Support

These Terms and Conditions set out the basis on which Renvi Ltd provides commercial plumbing, public health installations, servicing and maintenance, water compliance, design consultancy, technical reporting, remedial works and associated support services.

By instructing Renvi Ltd, accepting a quotation, confirming an appointment, issuing a purchase order or allowing works to proceed, the client agrees to these Terms and Conditions unless otherwise agreed in writing.

2. Definitions

In these Terms:

"Renvi", "we", "us" or "our" means Renvi Ltd.

"Client", "you" or "your" means the person, company, organisation, landlord, managing agent, contractor, consultant, facilities team, duty holder or representative instructing Renvi.

"Services" means the services provided by Renvi, including commercial plumbing works, public health installations, servicing and maintenance, water compliance, design consultancy, technical reviews, reports, remedial works, validation, plant replacement and associated support.

"Works" means any installation, maintenance, remedial, replacement, alteration, testing, inspection, commissioning, validation or associated site activity carried out or arranged by Renvi.

"Report" means any written assessment, survey report, technical note, recommendation schedule, validation report, maintenance report, design review, calculation, record drawing, O&M document or other written document produced by Renvi.

"Remedial Works" means works recommended or required following an inspection, report, maintenance visit, compliance review, client instruction or identified defect.

3. Our Services

Renvi provides commercial plumbing and public health support for main contractors, mechanical contractors, consultants, landlords, commercial property owners, tenants and facilities teams.

Our services may include:

  • Commercial plumbing and public health installations
  • Domestic hot and cold water services
  • Above-ground drainage and waste pipework
  • Sanitaryware, taps and final connections
  • Water heaters, TMVs and showers
  • Booster sets, storage tanks, pumps and associated plant
  • Trace heating, insulation and plant replacements
  • Planned servicing and maintenance
  • Reactive repairs and remedial works
  • Water compliance support
  • Legionella risk assessments, where instructed
  • Water sampling and laboratory testing
  • Temperature monitoring and outlet checks
  • Chlorination and disinfection
  • Tank inspections and clean/disinfection
  • Public health design reviews
  • Plant sizing and technical calculations
  • Schematics, layouts and record drawings
  • Validation reports and performance reviews
  • O&M manuals and handover documentation
  • Tender support and scope reviews

4. Quotations and Validity

All quotations issued by Renvi are based on the information available at the time of quotation.

Unless stated otherwise, quotations are valid for 30 days from the date of issue.

Quotations are exclusive of VAT unless expressly stated otherwise.

Renvi reserves the right to revise a quotation where: the scope changes; additional works are requested; site conditions differ from those advised; access arrangements differ from those advised; information provided by the client is incomplete or inaccurate; additional visits, reports, testing, sampling or works are required; hidden defects, redundant services or unsafe conditions are identified; works are delayed or disrupted by others; out-of-hours attendance is requested; or specialist access, permits, parking, welfare or site requirements are needed.

5. Instructions to Proceed

Renvi will not be obliged to commence services until written instruction has been received.

Written instruction may include signed acceptance of quotation, email confirmation, completion of an online enquiry or booking form, purchase order, written confirmation from an authorised representative, or site instruction allowing works to proceed.

Where a person instructs Renvi on behalf of another party, they confirm that they have authority to do so.

If an agent, consultant, contractor, managing agent or representative instructs Renvi on behalf of a client, Renvi may treat that instructing party as responsible for payment unless otherwise agreed in writing.

6. Client Responsibilities

The client is responsible for providing Renvi with accurate information and reasonable assistance to allow the services or works to be carried out.

This may include site address and contact details, access arrangements, scope of works, drawings and specifications, existing surveys, reports or design information, water system schematics and asset registers, plant details and maintenance records, previous test, sampling or monitoring results, permit, induction and RAMS requirements, parking, loading and welfare arrangements, details of restricted areas or security requirements, notification of asbestos, confined spaces or other hazards, and details of known defects, leaks, isolations or system issues.

Renvi will rely on information provided by the client and third parties. Renvi is not responsible for errors, omissions, delays, additional costs or incomplete findings arising from inaccurate, incomplete or withheld information.

7. Site Access and Safety

The client must ensure that safe, suitable and sufficient access is available for Renvi to carry out the agreed services or works.

Access must be arranged in advance and must include access to all relevant plantrooms, risers, roof spaces, tanks, water heaters, outlets, voids, service routes, working areas and other parts of the property required for the agreed scope.

If Renvi attends site and cannot complete the agreed services or works due to lack of access, unsafe conditions, missing keys, unavailable escorts, restricted areas, incomplete permits or other issues outside Renvi's control, Renvi reserves the right to charge for abortive attendance and any additional visit required.

Renvi reserves the right to refuse or stop work where site conditions are unsafe, unsuitable or outside the agreed scope.

8. Design, Consultancy and Technical Support

Renvi may provide design reviews, plant sizing, calculations, schematics, technical notes, tender support, scope reviews, validation reports, O&M documentation and handover support.

Unless expressly stated, design and consultancy services are based on the information provided by the client and are not a full independent design responsibility for the entire building or project.

The client remains responsible for ensuring that any design, specification, installation or final system arrangement is suitable for the project requirements and is reviewed by the appropriate project designer, consultant, contractor or duty holder where required.

Renvi's technical support is intended to assist with commercial plumbing and public health services. It does not remove the client's obligation to obtain statutory approvals, building control approval, design sign-off, consultant approval or other third-party approvals where required.

9. Reports and Recommendations

Reports issued by Renvi are based on the findings available at the time of inspection, the extent of access provided and the information supplied by the client.

Reports are intended to identify apparent issues, defects, risks, compliance gaps, performance concerns, recommended actions and remedial works within the agreed scope.

Reports do not guarantee that every defect, risk or issue has been identified, particularly where areas are concealed, inaccessible, undocumented, isolated, out of use, unsafe to access or outside the agreed scope.

Recommendations may include further investigation, monitoring, sampling, cleaning, disinfection, remedial works, maintenance, replacement, design review or further specialist advice.

The client remains responsible for reviewing the report, implementing suitable actions, maintaining records and ensuring ongoing compliance with their own duties.

10. Installation, Maintenance and Remedial Works

Renvi may provide installation, maintenance, remedial, replacement and alteration works to commercial plumbing and public health systems.

Works may include domestic water services, above-ground drainage, sanitaryware, outlets, TMVs, showers, water heaters, booster sets, tanks, pumps, trace heating, insulation, valves, plant replacements and associated public health services.

Unless expressly stated in the quotation, works exclude builders' work, making good, decoration, fire stopping, electrical works, specialist access, lifting operations, scaffold, MEWP, below-ground drainage, structural work and any other works outside the agreed scope.

Renvi reserves the right to revise quotations where hidden conditions, access limitations, additional defects, isolation issues, redundant services, design changes or changes in scope become apparent.

11. Water Compliance Services

Renvi may provide water compliance support where instructed, including legionella risk assessments, water sampling, temperature monitoring, tank inspections, TMV checks, chlorination, disinfection and compliance-led remedial works.

Where legionella risk assessments or water compliance services are provided, these will be prepared with reference to recognised UK guidance, including ACOP L8 and HSG274, where applicable to the agreed scope.

A legionella risk assessment is an assessment of risk and recommended control measures based on the system condition, access provided and information available at the time. It is not a guarantee that legionella bacteria are not present.

Where water sampling is included, samples will be taken from agreed or representative locations. Laboratory analysis will be carried out by a suitable third-party laboratory unless otherwise stated.

Sampling results relate only to the sample taken at the time and location tested. A clear result does not guarantee that the entire system is free from contamination or risk.

12. Servicing and Maintenance

Renvi may provide planned maintenance, reactive maintenance, servicing, inspections, condition checks, TMV checks, water heater servicing, booster set checks, tank inspections, pump checks, outlet checks, system validation and other public health support.

Unless expressly stated, maintenance visits are visual and functional checks only and do not include full system redesign, intrusive investigation, replacement parts, remedial works, laboratory analysis, access equipment, out-of-hours attendance or third-party specialist works.

Any defects, repairs, replacement parts or additional works identified during a maintenance visit may be quoted separately.

Maintenance recommendations are based on the condition observed at the time of attendance and do not guarantee future performance, prevent future failure or remove the client's ongoing maintenance responsibilities.

13. Subcontractors and Supply Chain

Renvi may use competent subcontractors, associated delivery teams, laboratories, suppliers, consultants or specialist contractors to deliver part or all of the services or works.

Renvi remains responsible for coordinating services instructed directly through Renvi, unless otherwise stated.

Where Renvi obtains quotations from third-party contractors or suppliers on behalf of a client, those quotations may be subject to the third party's own terms, availability, lead times and exclusions.

14. Exclusions

Unless expressly stated in the quotation, Renvi's services exclude electrical works; mechanical services outside the agreed public health scope; builders' works; making good; decoration; fire stopping; asbestos surveys or removal; confined space works; specialist access equipment; scaffold or MEWP; below-ground drainage; rainwater goods, gutters and rainwater downpipes; structural works; lifting operations; out-of-hours works; permit fees; local authority fees; third-party consultant fees; client-side statutory duties; ongoing monitoring unless included; remedial works unless specifically quoted; laboratory analysis unless specifically quoted; water treatment chemicals unless specifically quoted; design responsibility for works not designed by Renvi; and maintenance of systems not included in the agreed scope.

15. Fees and Payment

Payment terms will be stated in Renvi's quotation or invoice.

Unless otherwise agreed in writing, payment is due within 30 days from the date of invoice.

For first-time clients, one-off surveys, urgent attendance, specialist orders, materials, plant, subcontractor costs or smaller works, Renvi may require payment in advance, staged payments or payment before release of reports.

Renvi reserves the right to withhold reports, certificates, records, drawings, calculations, O&M documents or other deliverables until payment has been received in full.

Late payments may be subject to interest and recovery costs in accordance with applicable law.

All amounts must be paid in full without set-off, deduction, withholding or counterclaim unless required by law.

16. Cancellation and Abortive Visits

If the client cancels or postpones an appointment, Renvi reserves the right to charge for costs incurred.

Where cancellation occurs less than 48 hours before attendance, Renvi may charge an abortive fee.

Where Renvi attends site and cannot complete the services or works due to lack of access, unsafe conditions, missing information, unavailable escorts, incomplete permits or other matters outside Renvi's control, Renvi may charge for the visit and any required reattendance.

Any third-party costs, laboratory costs, materials, plant, access equipment, subcontractor costs or specialist resources already committed may be charged in full.

17. Programme and Delays

Renvi will use reasonable endeavours to meet agreed attendance dates, report issue dates and programme requirements.

All dates are estimates unless expressly agreed otherwise in writing.

Renvi is not liable for delays caused by client delay, lack of access, missing information, third-party delay, laboratory turnaround times, supplier delay, subcontractor availability, adverse weather, unsafe site conditions, design changes, changes in scope, or events outside Renvi's reasonable control.

18. Materials, Plant and Equipment

Materials, plant and equipment supplied by Renvi will be selected based on the agreed quotation, specification, availability and suitability for the agreed scope.

Where specific manufacturers, models or products are required, these must be confirmed before instruction.

Renvi is not responsible for delays, cost changes, discontinued items, manufacturer lead times or product availability outside Renvi's control.

Manufacturer warranties, where applicable, are subject to the manufacturer's own terms and conditions.

19. Intellectual Property and Use of Reports

All reports, documents, photographs, drawings, calculations, schedules, templates and written materials produced by Renvi remain the intellectual property of Renvi until paid for in full.

Once paid for, the client may use the report or document for the purpose for which it was prepared.

Reports, drawings, calculations and documents must not be altered, reproduced, relied upon for unrelated properties or used outside the agreed scope without Renvi's written consent.

Third parties may not rely on Renvi's reports, drawings or documents unless Renvi has provided written permission.

20. Reliance and Limitations

Renvi's reports, designs, reviews and recommendations are based on the information available at the time and the scope agreed.

Renvi is not responsible for areas not accessed, concealed defects, inaccurate client information, changes made after attendance, failure by the client to implement recommendations, failure by others to maintain the system, defects caused by others, system conditions arising after the date of attendance, use of reports or documents beyond their intended purpose, design, installation or maintenance carried out by others, or approvals, permissions or statutory duties outside Renvi's agreed scope.

21. Liability

Nothing in these Terms limits or excludes liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

Subject to the above, Renvi is not liable for indirect loss, consequential loss, loss of profit, loss of business, loss of opportunity, loss of contract, loss of goodwill or business interruption.

Renvi's total liability for any claim arising from the services or works shall be limited to the value of the fees paid to Renvi for the specific service or works giving rise to the claim, unless otherwise agreed in writing.

Renvi is not liable for losses arising from the client's failure to act on recommendations, maintain suitable records, implement control measures, maintain systems or comply with their own duties.

22. Insurance

Renvi maintains appropriate business insurance for the services provided.

Details of insurance can be supplied on request where required for appointment, onboarding or pre-qualification.

23. Complaints

If the client is dissatisfied with any aspect of Renvi's service, they should contact Renvi in writing at enquiries@renvi.co.uk or by phone on 0330 520 2150.

Renvi will review the complaint and aim to respond within a reasonable period.

Where a report, drawing, calculation or document contains an administrative error or clarification is required, Renvi should be given the opportunity to review and correct the issue.

24. Data Protection

Renvi will use client information for the purpose of providing services, managing enquiries, issuing quotations, delivering works, arranging subcontractors or suppliers, invoicing, record keeping and complying with legal or regulatory obligations.

Renvi will handle personal data in accordance with applicable UK data protection legislation and Renvi's Privacy Policy.

25. Consumer Clients

Renvi primarily provides services to commercial clients, landlords, managing agents, contractors, consultants and facilities teams.

Where a client is a consumer and consumer cancellation rights apply, Renvi will comply with applicable consumer law.

If a consumer requests Renvi to begin work within any applicable cancellation period, the consumer may be required to pay for services performed up to the point of cancellation.

26. Force Majeure

Renvi is not liable for delay or failure to perform any obligation where the delay or failure is caused by events beyond Renvi's reasonable control.

This may include extreme weather, illness, supplier failure, laboratory delay, subcontractor delay, site closure, access restrictions, industrial action, transport disruption, utility failure, pandemic, fire, flood or other events outside Renvi's control.

27. Governing Law

These Terms and Conditions are governed by the law of England and Wales.

Any dispute arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

28. Updates to These Terms

Renvi may update these Terms and Conditions from time to time.

The version in force at the time of instruction will apply unless otherwise agreed in writing.
